These terms govern your use of AI Accounting at aiaccounting.pro. By creating an account you accept them.
AI Accounting is online bookkeeping software: a general ledger, chart of accounts, financial statements, stock and fixed-asset registers, and AI-assisted analysis. We provide the tool. The figures you enter, and the accounts you produce from them, are yours.
You keep all rights to the records you enter. We claim no ownership. You may export your data at any time — the application exports to Excel and CSV, and you can request a full copy.
You grant us only the permission needed to run the service: to store, process, back up and display your data to you and to the users you authorise.
The assistant, charting, and document scanning send relevant parts of your financial data to Google's Gemini API for processing. This is set out in the Privacy Policy. If that is unacceptable for your business, do not use those features; the rest of the system works without them.
AI output is a suggestion, not advice. It can be wrong, and it can be confidently wrong. Check anything it produces before you rely on it. We are not liable for decisions taken on the basis of AI-generated analysis.
AI Accounting is software, not an accountant, auditor, or tax adviser. Nothing it produces is accounting, tax, or legal advice. You are responsible for the accuracy of your records and for meeting your filing, tax, and statutory obligations. Have a qualified professional review your accounts where that matters — and it usually does.

We aim to keep the service running and we take nightly backups, but we do not promise uninterrupted availability. Maintenance, hosting failures, and events outside our control can cause downtime. We will give notice of planned maintenance where we can.
Backups are retained for 14 days. They protect against system failure. They are not a substitute for your own records — keep your own copies of anything you cannot afford to lose, and export periodically.
Where the service is offered free of charge, we may introduce or change fees on reasonable notice. You will always be told before you are charged, and you may export your data and close your account instead.
The service is provided "as is". To the extent the law permits, we are not liable for indirect or consequential loss, lost profits, or lost data, and our total liability for any claim is limited to the fees you paid us in the 12 months before it arose — or, if you paid nothing, to a nominal amount.
Nothing here excludes liability that cannot lawfully be excluded, including for fraud or for death or personal injury caused by negligence.
We may update these terms. Material changes will be notified by email to account holders before they take effect. Continuing to use the service afterwards means you accept the revised terms. The date at the top of this page reflects the current version.
These terms are governed by the laws of the jurisdiction in which the service operator is established, and disputes fall to the courts of that jurisdiction.
A note on these documents. They were drafted to describe this system accurately — the data flows, retention periods and third parties named are the real ones. They are not a substitute for legal advice. Before relying on them commercially, have a lawyer in your jurisdiction review them and insert your registered entity name, address, and governing law.
